Privacy Policy

1. About This Policy

Pharmacy Space (ABN 32 694 035 919) ("we", "us", "our") operates the Platform at pharmacyspace.com.au. We are committed to protecting personal information in accordance with the Privacy Act 1988 (Cth) ("Privacy Act") and the Australian Privacy Principles ("APPs") in Schedule 1 of the Privacy Act. As a health service provider collecting health information, Pharmacy Space is bound by the Privacy Act regardless of its annual turnover.

This Privacy Policy explains what personal information we collect, how we use and disclose it, how we keep it secure, and your rights in relation to it. By using the Platform, you consent to the collection and use of your personal information as described in this Policy.

2. What Personal Information We Collect

2.1 Account Registration Information

  • First name and last name

  • Email address

  • Date of birth

  • Gender (optional; you may select "prefer not to say")

  • Password (stored in encrypted form)

2.2 Professional Information (where provided)

  • AHPRA registration number and registration type

  • Verification status

  • State of practice and country of residence

2.3 Job Portal Financial Information (where provided)

  • Tax File Number (TFN)

  • Australian Business Number (ABN)

  • Bank account name, BSB, and account number

  • Superannuation fund details (fund name, ABN, USI, member number)

  • Preferred hourly rates and allowances

  • Residential and postal addresses

  • Emergency contact details

2.4 Usage and Technical Information

  • Pages visited and session data (collected via our first-party telemetry system)

  • Approximate country location (derived from IP address for analytics purposes)

  • Session identifiers stored in browser localStorage (ps_session_id, ps_session_last_active)

  • Device type and browser information (via standard HTTP request headers)

2.5 Content You Submit

  • CPD records, reflective journal entries, and competency assessments

  • Comments, reactions, and bookmarks on news articles

  • Messages sent via in-platform messaging

  • Contact form submissions

3. How We Collect Personal Information

We collect personal information:

  • Directly from you when you register, complete your profile, or use Platform features;

  • Automatically when you browse the Platform via our first-party telemetry system or other third-party analytics tools;

  • From email communications you send to us.

We do not collect personal information from third-party data brokers or social login providers.

4. Purpose of Collection

Primary purposes:

  • Creating and managing your account;

  • Providing clinical calculator, drug reference, news, job portal, and CPD tracking services;

  • Verifying your AHPRA registration and professional status;

  • Facilitating employment arrangements through the Job Portal;

  • Sending transactional and account-related emails;

  • Operating, maintaining, and improving the Platform.

Secondary purposes (with your consent, or where otherwise permitted by the APPs):

  • Sending newsletters, weekly summaries, and marketing communications where you have opted in;

  • Analysing aggregated, de-identified usage patterns to improve Platform features;

  • Complying with legal and regulatory obligations.

5. Sensitive Information

Under the APPs, certain categories of information are "sensitive information" and require a higher standard of protection. We collect the following:

  • Health professional registration information (AHPRA number) — collected with your consent and used solely to verify your professional status;

  • Tax File Numbers — collected only where you engage the Job Portal's payroll features, and handled in strict compliance with the Income Tax Assessment Act 1997 (Cth) and the Privacy (Tax File Number) Rule 2015.

We will not use sensitive information for any purpose other than those for which it was collected, without your explicit consent.

6. Disclosure of Personal Information

We do not sell your personal information. We may disclose it to:

  • Service Providers — our trusted third-party vendors who provide database, authentication, cloud storage, email, and analytics services to help operate the Platform;

  • Other users — limited profile information may be visible to other registered users where you have enabled profile visibility;

  • Law enforcement or regulators — where required or authorised by Australian law.

7. Overseas Disclosure (APP 8)

Some of our third-party service providers store or process data on servers located outside Australia, which may include the United States and other jurisdictions. Before disclosing personal information overseas, we take reasonable steps to ensure that recipients handle it consistently with the APPs.

By using the Platform, you consent to your personal information being disclosed to overseas recipients as described above.

8. Marketing and Opt-Out (Spam Act 2003)

We will only send you commercial electronic messages where you have provided express or inferred consent, in accordance with the Spam Act 2003 (Cth). Every marketing email includes a clear, functional unsubscribe mechanism. You can also manage your notification preferences in your account Settings at any time.

Unsubscribing from marketing emails will not affect essential transactional communications such as account verification, password reset, or security alerts.

9. Security (APP 11)

We implement reasonable technical and organisational measures to protect your personal information, including:

  • Encrypted password storage;

  • Database-level security policies;

  • HTTPS encryption for all data in transit;

  • Access controls limiting administrative access to authorised personnel;

  • Managed infrastructure with enterprise-grade security controls.

10. Notifiable Data Breaches (NDB Scheme)

We comply with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act 1988 (Cth). If we become aware of an eligible data breach likely to result in serious harm to any affected individual, we will notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as soon as practicable.

11. Data Retention

We retain personal information for as long as necessary to provide the Services and comply with our legal obligations. Upon account deletion, we will delete or de-identify your personal information within a reasonable period, except where retention is required by law (for example, TFN and financial records may be subject to taxation law retention obligations).

12. Your Rights — Access and Correction (APP 12 and APP 13)

You have the right to request access to the personal information we hold about you, and to request correction of inaccurate or outdated information. Please submit your request via the Contact page. We will respond within 30 days. In limited circumstances permitted by the APPs, we may decline a request and will provide written reasons.

13. Children's Privacy

While the Platform is primarily designed for adult professionals, it may be used by individuals under 18 years of age (such as pharmacy students) for educational purposes. We handle the personal information of all users in accordance with this Policy. We do not knowingly collect personal information from individuals under 15 years of age. If you are under 18, we encourage you to involve a parent or guardian in your use of the Platform.

14. Complaints (APP 1.4)

If you believe we have breached the APPs or your privacy rights, please lodge a complaint via the Contact page. We will acknowledge your complaint within 5 business days and endeavour to resolve it within 30 days.
